You cannot do without email. Almost all your communication between you and your customers, friends and family happens through email. Sorting through my mail was a painful process, till I found Spark.This 3 rd party email app for iOS and Mac devices from Readdle has helped me organize my inbox, find my important mails and much more. Spark’s features like labeling, smart search and folders. Tap the mark button in the upper right-hand corner of an inbox group heading to quickly mark all messages within that group as read.
There are two types of Inbox in Spark: Classic and Smart.
The Smart Inbox gathers emails from your various accounts and sorts them into Personal, Notifications, and Newsletters. New emails are available at the top of your inbox while read messages go to the Seen section at the bottom.
The Smart Inbox helps you manage your emails faster; you can focus on important messages and quickly clear the rest. Spark allows you to customize the Smart Inbox to work optimally for you. Meanwhile, you can switch to the Classic Inbox where all emails are displayed in chronological order.
Select the cards to display in the Smart Inbox
Spark offers various cards to display in the Smart Inbox. You can choose the ones you need:
- Personal — displays the emails from other people;
- Notifications — shows messages from services;
- Newsletters — displays regular emails from the websites you’ve subscribed to;
- Pins — contains the emails you’ve pinned;
- Seen — the card for the emails you’ve already read;
- No New Mail — appears when all your emails have been read and sent to the Seen section;
- Shared Drafts — notifies you when your teammate invites you to create an email together or adds comments to a shared draft. Learn more about shared drafts.
- Click Spark at the top left of your screen
- Select Preferences > General.
- Click Smart Inbox at the top.
- On the left, tick the cards you want to see in your Smart Inbox.
- Tap the menu icon at the top left.
- Open Settings > Personalization > Smart Inbox.
- Tick the cards you want to see in your Smart Inbox.
- Tap the menu icon at the top left.
- Tap Settings .
- Open Personalization.
- Tap Smart Inbox. If you don’t see this option on the list, tap +Add new and select Smart Inbox.
- Enable the toggle for the cards you want to see in your Smart Inbox.
Adjust the email grouping
You can choose one of the three options to group emails in the Smart Inbox:
- Unified displays emails from all of your accounts together. For instance, the Personal card shows all your personal emails from every account.
- Grouped shows each email address with the number of unread messages. Tap the email address to see the new emails.
- Per Account separates each account’s emails. For example, if you receive two personal emails in two different accounts, these messages are shown on separate cards.

Choose different email groupings for different cards
For example, the Per Account setting for the Personal card, Unified for Notifications, etc.
- Click Spark at the top left of your screen.
- Select Preferences > General.
- Click Smart Inbox at the top.
- On the left, click on the card you want to customize.
- Click Email grouping and choose one of the options.
- Click Visible emails and choose how many emails should be displayed on a card. Note: This setting isn’t available if you’ve chosen the Grouped option.
- In the Accounts section, you can untick the email accounts you don’t want to use with the selected card. For example, you may not want to see newsletters for one of your accounts.
- If you need to, select the other cards to customize.
- Tap the menu icon at the top left.
- Open Settings > Personalization > Smart Inbox.
- Tap the card you want to customize.
- In the Grouping section, tick one of the three grouping options.
- Tap Visible items and choose how many emails should be displayed on a card. Note: This setting isn’t available if you’ve chosen the Grouped option.
- In the Accounts section, you can disable the toggle for the email accounts you don’t want to use with the selected card. For example, you may not want to see newsletters for one of your accounts.
- Return to the previous menu to customize the other cards.
- Tap the menu icon at the top left.
- Tap Settings .
- Open Personalization.
- Tap Smart Inbox.
- In the Grouping section, tick one of the three grouping options.

Choose the card action
In Spark, you can set up quick actions for emails on every card. There are three options: Mark emails as read, delete or archive them with one click.
- Click Spark at the top left of your screen
- Select Preferences > General.
- Click Smart Inbox at the top.
- Select Card Action at the bottom left and choose one of the options.
To perform an action in the Smart Inbox, click at the card’s top right.
- Tap the menu icon at the top left.
- Open Settings > Personalization > Smart Inbox.
- Tap Card Action and choose one of the options.

- Tap the menu icon at the top left.
- Tap Settings .
- Open Personalization.
- Tap Smart Inbox.
- Select Card Action and choose one of the options.

Change the email category manually
You can manually mark a specific email as personal, notification or newsletter if Spark has sorted this email into the wrong category. For example, when you change an email category from newsletters to notifications, Spark will sort all future emails from this sender to the Notifications card.
- Open the desired email.
- Click on the email category at the top right (Personal, Notification or Newsletter).
- Select another category from the list.
- Open the needed email.
- Tap your or the sender’s name.
- In the Message Type section, select one of the categories: Personal, Notification or Newsletter.
- Open the needed email.
- Tap your or the sender’s name.
- In the Message Type section, select one of the categories: Personal, Notification or Newsletter.
Switch between the Smart and classic inbox
Follow these steps if you wish to see the classic inbox.
To switch between the classic and Smart inbox, use the toggle at the top of the screen.
- Tap the menu icon at the top left.
- Select All inboxes on the sidebar.
In Spark, you can easily create folders and subfolders to organize your emails. You can also manage folders on the native web page of your email account (Gmail, iCloud, etc.) and Spark syncs the changes across all your devices.
Add a new folder
- Click Spark at the top left of your screen.
- Open Preferences > Folders.
- Click on the plus sign at the bottom left.
- Select Folder.
- In a pop-up window, click on the Location field and choose where to create a folder.
- Fill out the Name field.
- Click Create.
- Tick your new folder on the list of folders to add it to the Favorites section on the sidebar.
Alternatively, you can click More on the sidebar and select Create New Folder. To keep it on the sidebar, open Spark > Preferences > Folders and tick this folder.
Tip: If you have multiple folders, you can color-code them for faster navigation:
- Find a folder on the sidebar and right-click on it.
- Select Change Folder Color.
- Choose a color you wish.
- Tap the menu icon at the top left.
- Select Edit list on the sidebar.
- Scroll down and select Add a Folder under one of your accounts.
- Fill out the Name field.
- Under Folder location, select where to add a folder. If you choose another folder as a location, a new folder will appear inside this folder.
- Tap Save at the top right.
- To keep your new folder on the sidebar, tap the plus icon near it.
- Select Save at the top right of the sidebar.
Note: To create folders in Spark for iOS, you need the app version 2.3.0 or newer. If it hasn’t updated automatically, open the App Store > Updates, find Spark and select Update.
- Tap the menu icon at the top left.
- Select Edit list on the sidebar.
- Scroll down and select Create a Folder under one of your accounts.
- Fill out the Name field.
- Under Folder location, select where to add a folder. If you choose another folder as a location, a new folder will appear inside this folder.
- Tap Save at the top right.
- To keep your new folder on the sidebar, tap the plus icon near it.
- Select Save at the top right of the sidebar.
Note: To create folders in Spark for iOS, you need the app version 2.3.0 or newer. If it hasn’t updated automatically, open the App Store > Updates, find Spark and select Update.
Create a subfolder
- Click Spark at the top left of your screen.
- Open Preferences > Folders.
- Click on the plus sign at the bottom left.
- Select Folder.
- Under Folder location, select a folder where you want to create a subfolder.
- Fill out the Name field.
- Click Create.
Alternatively, you can click More on the sidebar and select Create New Folder. Under Folder location, select a folder where you want to create a subfolder.
- Open the sidebar and tap Edit list.
- Scroll down and tap the More icon near the folder.
- Select Create Subfolder.
- Type the folder name.
- Select Add at the top right.
- Tap the plus icon near your new folder to keep it on the sidebar.
- Select Save at the top right of the sidebar.
If you pinned a folder to the sidebar and want to create a subfolder inside it, you need to unpin it first. Find the needed folder on the list and tap the minus sign near it. Then, scroll down, tap More near the folder and select Create Subfolder.
- Open the sidebar and tap Edit list.
- Scroll down and tap the More icon near the folder.
- Select Create Subfolder.
- Type the folder name.
- Select Add at the top right.
- Tap the plus icon near your new folder to keep it on the sidebar.
- Select Save at the top right of the sidebar.
If you pinned a folder to the sidebar and want to create a subfolder inside it, you need to unpin it first. Find the needed folder on the list and tap the minus sign near it. Then, scroll down, tap More near the folder and select Create Subfolder.
Move emails to a folder

- Open a needed email.
- Click on the Move icon at the top toolbar.
- Select a folder to move this email.
To move multiple emails at once, hold Cmd ⌘ and select the needed messages. Click on the Move icon on the right and select a destination folder.
- Open a needed email.
- Tap the More icon at the bottom.
- Select Move .
- Choose a folder to move this email. To switch between your accounts, tap your email address under Move to at the top.
To move multiple emails at once, long tap one of the emails in your inbox and then tap the other messages you want to select. Choose the Move option at the bottom or select More > Move .
- Open a needed email.
- Tap the More icon at the bottom.
- Select Move.
- Choose a folder to move this email. To switch between your accounts, tap your email address under Move to at the top.
To move multiple emails at once, long tap one of the emails in your inbox and then tap the other messages you want to select. Choose the Move option at the bottom or select More > Move .
Delete a folder
Note: When you delete a folder, all emails it contains are erased permanently. You can’t undo this action.
- Click Spark at the top left of your screen.
- Open Preferences > Folders.
- Select the folder you want to delete.
- Click on the minus sign at the bottom left.
- In a pop-up message, click Delete the folder.
Alternatively, right-click on the folder on the sidebar and select Delete.
- Open the sidebar and select Edit list.
- Scroll down and tap the More icon near the folder.
- Select Delete Folder.
- In a pop-up message, tap Delete folder.
In case you pinned a folder to the sidebar, you need to unpin it first. Find your folder on the list and tap the minus sign near it. Then, scroll down, tap More near the folder and select Delete Folder.
- Open the sidebar and select Edit list.
- Scroll down and tap the More icon near the folder.
- Select Delete Folder.
